Overview
The automations functionality in Baseline allows users to enhance efficiency by using triggers to perform actions. Some of these actions might be adding tasks to loans, or sending notifications to borrowers and team members.
Creating a New Automation
To create a new automation follow this steps:
Navigate to Company Settings on the top right corner
Click "Automations"
Click "New Automation"
Add a Name for your automation
Select one or multiple conditions to be met (Triggers)
Select one or multiple actions to be executed when the conditions are met
Activate and Save
Triggers and Actions
In our automation system, triggers are events or conditions that initiate an automated workflow. Once a trigger is activated, actions are executed as defined by the automation rules. Below, you'll find a detailed description of the primary and secondary triggers, along with the available actions.
Setting up the conditions
These are the conditions to be met by a loan for the automation to start.
Multiple Conditions
Automations may have multiple conditions and all of these condition need to be true before the automation is started.
Example:
An automation may be set to start when the Pipeline Stage is Lead and Loan Type is Bridge + Rehab.
Both of these conditions need to be met before for the automation to start.
Multiple Parameters
Each Condition may multiple parameters and only one needs to be true for the automation to start.
Example:
An automation may be set to start when the Pipeline Stage is Lead, Underwriting, or Approved
Only one of these parameters needs to be true for the automation to start.
Available Triggers
Primary Triggers
These triggers are the main events that can initiate an automation:
Pipeline State Set To
When the pipeline state changes to a specific status (e.g., "Processing", "Approved," "In Review"), the automation is triggered. This allows for workflows to be adapted dynamically as a loan application progresses through different stages.
Application Submitted
This trigger is activated when a borrower submits a loan application. The application can be submitted through the Public Application link or the loan application in the Borrower portal.
Loan is Created
When a new loan record is created in the system, this trigger will launch any predefined workflows associated with the loan setup.
An automation can be triggered using this condition when a Loan created in Origination or in Servicing.
Loan is Moved to Servicing
When a loan is moved from origination to Servicing, this trigger will laungc any predefined flows and tasks. This is useful when processing the after closing checklist such as title perfection and receiving the recorded documents.
Payment is Processed (Coming Soon)
This trigger will activate whenever a payment associated with a loan is processed. Automations linked to payment processing, such as sending payment confirmations or informing team members.
Payment Status Changes (Coming Soon)
When the status of a payment (e.g., "Cleared," "Reversed") changes, this trigger will ensure that corresponding actions are taken, such as notifying relevant parties or updating loan statuses.
Offering is Published (Coming Soon)
This trigger will activate when a new loan offering is published in the system. Automations can be set to notify investors or update the investment portal automatically.
Secondary Triggers
These triggers are based on specific loan attributes and can be used to refine automations and have to be used in combination with primary triggers:
Use of Funds
Based on the intended use of the loan funds (e.g., "Purchase" "Refinance"). This allows for tailored workflows that align with the specific nature of the loan.
Loan Type
Different loan types (e.g., "Bridge Loan," "Construction Loan") can initiate specific actions, ensuring that workflows are appropriate for the type of loan being processed.
Loan Amount
Automations can be set to trigger based on the loan amount, allowing for differentiated processes for small, medium, or large loans. The conditions available for triggering based on loan amount include:
Is: Trigger the automation when the loan amount is exactly equal to a specified value.
Is greater than: Trigger the automation when the loan amount exceeds a specified value.
Is greater than or equal to: Trigger the automation when the loan amount is equal to or greater than a specified value.
Is less than: Trigger the automation when the loan amount is below a specified value.
Is less than or equal to: Trigger the automation when the loan amount is equal to or below a specified value.
Available Actions
Once a trigger is activated, the following actions can be executed:
Create tasks from a template
This action will automatically generate a set of predefined tasks based on a template. It ensures consistency in task management and streamlines workflows by setting up necessary steps instantly.
Send an Email to (Coming Soon)
Automations can be configured to send an email to specified recipients. This is useful for notifications, confirmations, or any communication that needs to be initiated based on a trigger.
Request Documents (Coming Soon)
This action will automatically request specific documents from the borrower or other stakeholders as part of the workflow, ensuring that all necessary paperwork is gathered promptly.
Share Documents (Coming Soon)
Documents can be automatically shared with relevant parties when this action is triggered, facilitating easy collaboration and document management.
Send Notification to (Coming Soon)
Notifications can be sent to specific users or groups within the system, keeping everyone informed about key events or required actions.
