Sequential Loan ID

Intuitively manage how you record and identify your loans with customized loan IDs

The Sequential Loan ID feature allows lenders to create customized, predictable loan identification numbers instead of using random numbers.


This feature enables our users to establish a format for their loan IDs that automatically follows and increments along a consistent format they choose, replacing Baseline's default IDs. Formats can include:

  • Created dates (year, month, day)

  • Numbers (1, 2, 3, etc.)

  • Fixed texts and letters (like company initials)

For example, if a lender sets up the format "ABC-YYYYMMDD###":

  • The first loan created on August 25, 2025 will be ABC-20250825000

  • The second loan that day will be: ABC-20250825001

  • The next loan given that it's added the next day will be: ABC-20250826002


How it Works

  1. Accessing the Editor

  • Navigate to General Settings in the Company Settings section in the Lender Portal.

  • Find the "Loan ID Format" section (initially shows the default random format).

  • Click on Edit to open the ID editor.

Click "Insert"

If you are an existing customer with loans already in the system, please note that changing the format will ONLY impact new loans created and have no effect on older loans.

2. Setting up a Format

  • In the editor, click on Insert to open the format picker

  • As mentioned before, you can pick created dates, numbers, and adjust the total number of digits and the starting number.

Click "Year CreatedYYYY"
  • To pick the total number of digits and the starting number, click on Ascending digits

Click "Ascending Digits#↑"

  • To pick dates created, click on any one of the options in the dropdown:

    • Year Created

    • Month Created

    • Day Created

  • To add a fixed string of numbers or letters, simply type in the text in the input field:

Sequential Loan ID in action

Suppose we want to set up a loan format similar to the one mentioned earlier, "ABC-YYYYMMDD###", starting with the number 0.

It would work like this:

  • Put in "ABC-" in the input field

  • Add "Year Created", "Month Created", and 'Day Created" from the date picker options by clicking on the options

  • Click on Ascending Digits to access the editor, and add 3 in the Total Digits input field and 0 in the Starting Value input field and click Insert

  • Once done, preview the new ID format in the input field and click on Apply Changes to see the format now saved in settings.

Please note that you cannot select a value lower than 3 digits in the ascending digits picker.

Once an ID has been saved, any new loans created will follow the new format saved. Take, for example, the new format that was saved above:

If your Loan ID format creates an ID that already exists, it will result in a duplicate Loan ID. Please ensure your format is unique and avoids conflicts with existing IDs.


Manual ID

Loans ID can still be edited in the same way they were before, through the ID editor in the loan:

Permissions

Only users with access to settings can set an ID. However, any user with "Write" permission to Pipeline loans and Full Access to loans in servicing can also edit the ID manually for any individual loan.
