Document Status Definitions

In this article, we outline the various document statuses available, how they should be used and how they impact a borrower's acccess

Below is a list of document statuses and how they impact document behavior:


​Pending

This is the default status for any document slot.

  • When a document is in a pending status, it is not visible in the borrower portal.


Requested

Assigned after you right-click on a document slot and choose the 'request' option.

  • When a document is requested, it triggers a notification to the borrower, and makes the document slot visible to them in the borrower portal.

  • Borrowers can upload documents whenever a slot is set to the requested status.


​In Review

Assigned whenever a document is uploaded.

  • Whenever a document is uploaded by either lender or borrower, the document status will automatically change to 'in review' until it is changed.

  • When a document is in 'in review', the borrower can continue to upload additional documents into the document slot.


Accepted

Assigned once you have reviewed a document and accepted it, or do not want to allow a borrower to continue to upload documents in a given slot.

  • Once you've reviewed your borrower's document and are satisfied with it, you should move it to an accepted status. These statuses are intended to serve as their own document underwriting checklist.

  • If you are sharing a document with a borrower, you'll also need to set it to an 'accepted' status to prevent them from uploading additional documents into the same slot in the borrower portal.

Note: Common use-cases of in review vs. accepted statuses when sharing a document are:

  1. Sharing an instructional document informing your borrower what you want them to upload into the same slot, which you would require you leaving a document in the 'in review' status.

  2. Sharing a document that you want your borrower to have access to, but don't want them to be able to upload into, which would require you to set your document to an 'accepted' status.


Rejected

Assigned when you have reviewed a document and rejected it.

  • If you've reviewed a borrower's document and are not happy with it, you should move it to a rejected status, and add a reason for rejection. This will trigger a notification to your borrower telling them which specific document was rejected.

  • In a rejected status, your borrower will still be able to upload a new version of the document in the same slot to address the issue with the document


Expired

Assigned when a document expiry date has been reached.

  • Baseline will automatically assign any Expiration Date included in the document when it's uploaded.

  • You can also set document expiry dates in the 'Document Info' tab accessed from the right hand side of a document.

  • Once a document expiry date is reached, the document will automatically move into an expired status, and a notification will be triggered to both lender and borrower.

  • When in an expired status, the borrower will not have the ability to upload a new version in the borrower portal unless you re-request the document.
