Loan Documents

Overview

The Documents section centralizes all files exchanged during the loan lifecycle—borrower paperwork, guarantor forms, collateral evidence, closing packages, and more—into a single, searchable workspace. This manual explains how to navigate the new layout, upload and manage documents, perform bulk actions, and download files in their preferred formats.


Opening the Documents Tab

  • Inside any loan, click the Documents tab:

  • The page loads with a header bar, collapsible section panels, and (when applicable) a bulk‑action bar at the bottom.

Section Filter (title dropdown)

Click the ▼ next to the page title to show a pick‑list of all document sections (All, Borrower, each Guarantor, Collateral, Loan, Closing, Investor Agreements, Other, etc.). • Selecting an entry filters the view to that section only. • Select All to clear the filter and show every section again.

Download All

Downloads every visible document (subject to filter) in one ZIP package. See § 9 for format options.

Generate

Opens a template menu to create new documents exactly as before (no functional change).

Section Panels

  • Each section (e.g., Borrower, Guarantor, Collateral, Loan) appears as a collapsible panel.

  • New sections for each Borrower, Guarantors and Collaterals are created so that each one has its own section with the list of required documents.

Collapsing & Expanding

  • Click anywhere on the section header (except the checkbox) to toggle collapse/expand.

Section Checkbox

  • Left of each header is a checkbox that selects all placeholders in that section.

  • Clicking again clears the selection.

  • A partially filled box indicates a partial selection inside.

Approval Counter

  • At the far right of the header a grey badge shows approved/total documents (e.g., 0 / 7). It updates in real‑time as the status changes to Accepted.

Add‑Placeholder Button

  • A button on the right lets you create a brand‑new placeholder instantly.

Document Placeholders & File Versions

  • Click the icon inside a section header to add a placeholder.

Field

Description

Name

Placeholder label (e.g., Drivers License).

Type / Extension

File format of the most recent upload (PDF, DOCX, JPG, XLSX…).

Size

Latest file size.

Uploaded Date

Timestamp of the most recent version.

Status

Requested ▸ Pending ▸ Signed ▸ Approved ▸ Rejected. Status drives what actions are available.

Actions (⋯)

Quick menu: Upload New Version, Edit Request Date, Download, Delete.

Multiple Versions

  • Uploading a new version keeps the full history.

Uploading Files

  • Browse your computer or drag‑and‑drop the file.

  • Click the Ellipsis and click upload

  • The new file enters In Review status automatically.

Dragging multiple documents into the section header at once will create new document slots.

Selecting Documents

  • Click any row’s checkbox to select that placeholder (all its versions).

  • Selecting two or more placeholders triggers the Bulk‑Action Bar at the bottom of the screen.

What It Does

Download

Download Originals – keeps native formats. Download as PDF – converts every possible file to PDF; files that cannot be converted remain in their original format. A toast "Preparing download…" appears; allow pop‑ups so the ZIP can start automatically.

Change Status

Updates status of all selected placeholders (e.g., mark Requested ▸ Pending).

Request

Sets status of all selected items to Requested and sends notifications per workflow rules.

Delete

Prompts "Delete selected documents?" Confirm to remove the latest versions or entire placeholders if empty.

Download Workflows & Conversion Rules

  • Choose Download Originals for a ZIP containing untouched files. Word → .docx, images → .jpg/.png, spreadsheets → .xlsx, etc.

  • Choose Download as PDF to force PDF output where possible:

    • Word, Excel, and PowerPoint are printed to PDF.

    • Images are placed into a PDF wrapper.

    • Any file the converter cannot handle remains in its native format. A toast notifies you which ones "were added in original format".

  • File names inside the ZIP respect your organisation’s naming convention.

Important: Browser pop‑ups must be allowed the first time you download; otherwise click the toast’s manual link.


Document Details View

Click any placeholder name to open the detail modal. From there you can:

  • Preview the document.

  • Upload a new version.

  • Change status.

  • View version history and metadata.
