Loan Pipeline

Overview

The Pipeline is where you manage all active loan applications, track their progress, and assign tasks. It provides a clear, structured workflow for moving loans through different stages, from lead to closing. This guide walks you through everything you need to know to efficiently use the pipeline.


1. Understanding the Pipeline Layout

The dashboard is structured as a Kanban-style board, with loans categorized into different stages. At a glance, you’ll see:

  • Total number of loans in the pipeline.

  • Cumulative loan value across all stages.

  • Search bar to quickly find a specific loan.

  • Filters & sorting options to organize loans based on different criteria.

  • Export button to download loan data.

  • Add Loan button to create a new loan manually.

Each loan can be dragged and moved through different stages in the pipeline, which helps keep everything organized and ensures tasks are completed in order.

The dashboard can also be structured in a Table View with the same features and functionalities except for the drag and drop feature. This is accessible by clicking on the Table View/Pipeline View button.


2. Loan Stages & Workflow

Each loan progresses through five key stages:

  • Lead – The loan has been created but is still in the early stages.

  • Processing – The loan application is being reviewed, and key documents are being collected.

  • Underwriting – The loan is undergoing risk assessment and verification.

  • Approved – The loan has been approved but is awaiting final steps.

  • Closed – The loan has been finalized and disbursed.

Each column header displays:

  • The total number of loans in that stage.

  • The cumulative loan value for all loans in that stage.

Loans can be manually dragged through these Stages.

Clicking on a Stage will open up the different Sub-Stages under that Stage, with the same drag and drop features allowing you to change the sub-stage of a loan.

Click "Lead"


3. Loan Cards & What’s Inside

Each loan is represented as a card inside its current stage. Clicking a card opens detailed loan information.

Loan Card Details Include:

  • Loan Title – The name or reference of the loan.

  • Current SubStage – Indicators like "New Application" or "Pending Closing". Substages can be customized.

  • Account Owners – The team members responsible for the loan.

  • Loan Amount – The value of the loan.

  • Product - The Product selected for the loan.

  • Use Of Funds – Identifying what the borrower will use the funds of the loan towards: "Purchase," "Refinance,".

  • Pipeline Alerts - Flag to indicate criticality of a loan when missing a deadline and time since last progression/time remaining until closing.

  • Closing Date – Showing the estimated closing date set on each loan

You can also change the Sub-Stage of a loan in the cards by clicking on the Sub-Stage.


4. Key Features & How to Use Them

Searching for a Loan

  • Use the search bar at the top right to locate a loan by name, borrower, or status.

    • Loans can be searched by Loan Name, Borrower, Guarantor and Loan ID

Sorting & Filtering

Filtering

  • Click Filter to refine loans based on specific attributes. You can apply one or multiple filters at a time to refine your search.

    Available Filters:

    • Origination Date – Filter loans by their expected closing date.

    • Loan Amount – Narrow results based on loan size.

    • Product – Filtervloans by specific loan products (e.g., DSCR, Fix & Flip).

    • Owners – Show loans assigned to specific users or teams.

    • Use of Funds – Filter by purpose, such as purchase, refinance, or construction.

    • Substage – Find loans in a specific sub-stage of their pipeline status.

    Use the search bar within the filter dropdown to quickly locate a specific filter option.

Sorting

  • The sort feature allows you to organize loans in a structured way based on multiple attributes. You can customize the sorting order by dragging the criteria into your preferred sequence.

    Available Sorting Options:

    • Origination Date – Arrange loans by the date they are expected to close.

    • Loan Amount – Sort loans based on their monetary value.

    • Loan Name – Order loans alphabetically.

    Sorting Customization:

    • Each sort option can be set to Ascending (↑) or Descending (↓) order.

    • You can reorder sorting priorities by dragging the criteria up or down in the list.

    • Click "Add Sort" to include additional sorting rules.

    • Click Reset to clear all sorting preferences.

    • Click Apply to confirm changes.

You can bookmark any filters and sorting options to save your views and access them quickly in the future.


Exporting Loan Data

  • Click the Export button to download reports for further analysis.

Adding a New Loan

  1. Click Add Loan (top right corner).

  2. Enter the loan details, including borrower info and loan type.

  3. Select Borrowers and Guarantors responsible for the loan.

  4. Click Next to add the loan's collateral address.


5. Task & Workflow Automation

The pipeline supports automated workflows to ensure loans move efficiently through the process.

Automated Task Assignment

When a loan moves to a new stage, the system can:

  • Assign tasks to the relevant team members.

  • Trigger subtasks (e.g., "Verify Borrower Documents").

Manually Creating Tasks

Users can also manually create loan-specific tasks:

  1. Click the loan card to open the details.

  2. Navigate to the tasks section.

  3. Click New Task, name it, and assign it to a user.

  4. Set a due date and track progress as the task gets completed.


6. Team Collaboration & Assigning Users

Assigning Users to a Loan

  • Each loan has assigned team members.

  • Users can be added or removed at any stage.


7. Notifications & Activity Tracking

  • Real-time notifications alert users when a task is assigned or a loan progresses.

  • The activity log records key actions like:

    • Status updates

    • New task assignments

    • Document uploads
